Personal Information Collected Through This Website
The Lethbridge Police Commission website employs software programs to monitor network traffic and to identify unauthorized attempts to replace or change information, or otherwise cause damage. The software logs computer information and navigation and click-stream data of the computer that has contacted our server. We make no attempts to link this information with the identity of individuals visiting our site unless an attempt to damage the site is detected. Logged information is not disclosed outside of Lethbridge Police Commission personnel or those under contract to conduct maintenance to web server components. The logs are permanently archived as raw research material. The logs may not be accessed, opted out, or changed by server users.
Information Collected and Stored Automatically
We do not automatically gather any personal information from you, such as your name, phone number, e-mail, or address. If you use our feedback form to contact us, you will be providing us with some personal information including your name, e-mail and perhaps information about your personal circumstances. This information is only used to process and respond to your question or comment, and is collected in compliance with section 4 (c) of the Protection of Privacy Act (the POPA Act). This information is not disclosed except to authorized personnel who need it to answer your question.
Personal Information Collected for Meeting Participation
The Commission may also collect personal information from individuals who request to address the Commission, make a presentation, submit written comments, or otherwise participate in a Commission meeting. This may include the individual’s name, contact information, organization or affiliation, presentation materials, and information relevant to the matter being considered.
This information is collected for purposes including:
- communicating with the individual about the meeting or submission;
- arranging participation in a Commission meeting;
- providing information to Commission members for their consideration;
- creating meeting agendas, minutes, and official records; and
- enabling the Commission to receive and consider public input as part of its oversight responsibilities.
Personal information is collected under section 4(c) of Alberta’s Protection of Privacy Act where it relates directly to and is necessary for an operating program or activity of the Commission. It will be used and disclosed only for authorized purposes and only to the extent reasonably necessary for the Commission to carry out those purposes.
Individuals should be advised that information presented during a public meeting or submitted to be heard at a public meeting may become part of the public record and may appear in meeting agendas, minutes, recordings, or other publicly available materials. The Commission should avoid publishing personal contact information unless publication is authorized or necessary.
Access to Information
The Access to Information Act provides a right of access to records in the custody or under the control of Alberta public bodies, subject to limited exceptions established by law.
To request records from the Lethbridge Police Commission, submit a written request that provides enough detail to identify the records being sought. Requests may be made for general Commission records or for records containing the applicant’s own personal information.
Before submitting a formal request, individuals may contact the Commission’s Access & Privacy Coordinator to determine whether the information is publicly available or can be provided through a routine request.
